Getting Started with FirmMetrics
A complete guide to setting up your firm, entering data, and using every feature of the platform.
1. Getting Started
Create Your Account
Visit the registration page to create your firm's account. You'll provide your name, email, a password, and your firm name. The first user automatically becomes the Managing Partner with full administrative access.
Invite Your Team
Once logged in, navigate to Partners or Associates and click the Add button. Choose Invite mode to send an email invitation, or Create mode to set up their account directly with a temporary password. Each invitation includes a secure link that expires after use.
Initial Setup Checklist
- Add all partners with equity percentages and billing rates
- Add associates with supervising partner assignments
- Create your client roster with originating partners
- Set up matters linked to clients
- Import historical time entries via CSV (or add them manually)
- Configure overhead allocation in Settings → Firm Profile
2. Dashboard Overview
The dashboard is the first thing you see after logging in. It adapts based on your role:
Managing Partner Dashboard
Full firm-wide visibility — total revenue, billable hours, average utilization, active matters, and trend charts. See KPIs for the entire firm at a glance.
Equity Partner Dashboard
Your personal origination, revenue, and the performance of associates you supervise. Track your team's utilization and client activity.
Associate Dashboard
Your individual utilization metrics, billable hours, assigned clients, and active matters. Monitor your own performance targets.
3. Managing Partners
The Partners page shows a searchable, sortable table of all partners in your firm. You can filter by practice area and sort by origination or revenue.
Adding a Partner
Click Add Partner and fill in their details: name, email, practice area, equity percentage, billing rate, origination target, and optional compensation draw. Choose Invite to send them a sign-up link or Create to set up their account immediately.
Partner Detail Page
Click any partner's name to view their detail page with four tabs:
- Overview — KPI cards (YTD origination, revenue, average associate utilization, active matters, realization rate) and a 12-month origination trend chart.
- Origination — Table of origination credits by client and matter, with revenue amounts and credit percentages.
- Associates — Supervised associates with practice area, billing rate, YTD hours, utilization (color-coded), and client count.
- Clients — Originated clients with industry, status, matter count, and first engagement date.
4. Managing Associates
The Associates page lists all associates with their supervising partner, practice area, billing rate, YTD billable hours, and utilization percentage.
Key Columns
- Utilization % is color-coded: green (≥85%), amber (70–85%), and red (<70%).
- Track shows a blue badge for associates on the partner track pipeline.
Adding an Associate
Click Add Associate and fill in their name, email, role (Senior Associate or Associate), practice area, supervising partner, billing rate, hire date, and optional bar admission date. Toggle Partner Track Eligible to include them in the partner track pipeline.
5. Clients & Matters
Clients
The Clients page lists all clients with their industry, originating partner, status (Active, Prospective, or Inactive), total revenue, and matter count. Use the filters to search by name, status, originating partner, or industry.
Click Add Client to create a new client record. Required fields are client name and originating partner. You can also add contact details and set the initial status.
Click any client name to view their detail page with matters, time entries, and relationship history.
Matters
The Matters page lists all matters with their client, type (Litigation, Transactional, Regulatory, Advisory, Other), status (Open, Closed, On Hold), responsible partner, assigned associates, hours, and estimated value.
Click New Matter to create one. Select the client, matter type, billing type (Hourly, Flat Fee, Contingency, or Blended), responsible partner, and optionally assign associates from a checkbox list.
6. Time Entries
Adding Entries
Click Add Entry to expand the entry form. Search for a matter by name, number, or client, then enter the date, hours (0.1–24), toggle billable/non-billable, and add a description. Click Save to record the entry.
CSV Import
For bulk entry, click CSV Import to upload a file. The importer validates your data, shows a preview of what will be imported, and highlights any errors before committing. This is the fastest way to load historical data.
Bulk Actions
Managing Partners and Equity Partners can select multiple entries using checkboxes and use the bulk action bar to mark them as Billed, Collected, or Unbilled. Status badges are color-coded: Collected (emerald), Billed (blue), Unbilled (default), and Non-bill (gray).
Time Entry Table
The table shows date, attorney (for Managing Partners), client, matter (linked to detail), description, hours, calculated value, and status. All columns are scannable at a glance.
7. Reports & Analytics
The Reports hub provides three core analytical views. Every report supports date range filtering (with presets like YTD and Last 90 Days) and CSV export.
Utilization Analytics
Track billable hours across your firm. View KPI cards (firm average utilization, total billable hours, non-billable hours, average realization rate), a utilization distribution bar chart, and a monthly trend line chart showing the firm average alongside the top 5 associates. Filter by partner or practice area, and toggle between individual and by-partner views. Associates are color-coded by utilization level.
Partner Profitability
Compare partner profitability with a sortable table showing origination, collected revenue, associate cost, overhead, net margin, margin percentage, and leverage ratio. Click a partner to see a revenue waterfall chart (Origination → Associate Costs → Overhead → Net Margin). Also includes a horizontal bar chart comparing net margins and a monthly profitability trend.
Realization Analysis
Analyze the gap between billed time and collected cash. Break down realization rates by partner, practice area, and matter type to find where revenue is being lost. Trend analysis shows whether realization is improving or declining.
8. Client Relationships
The Relationships page uses a weighted scoring engine to quantify and visualize attorney-client relationships. Click Recalculate Scores anytime to refresh the data.
Heatmap
An interactive grid with associates on rows and clients on columns. Each cell is color-coded by relationship score (gray → amber → emerald as scores increase). Hover any cell to see the exact score and hours. Filter by practice area to focus on specific teams.
Key Relationships
A ranked table of the top 20 relationships by score, showing the associate, client, score (color-coded), hours worked, matter count, and trend (Growing, Stable, or Declining).
Cross-Selling Opportunities
Cards for each client showing which practice areas currently serve them and which areas are missing — with suggested associates who could fill the gap. Use this to identify revenue expansion opportunities.
Key-Person Risk
Identifies clients that are overly dependent on a single attorney. Shows concentration percentage (red >80%, amber 60–80%), total hours, and a recommended action. Use this to proactively spread relationships and reduce risk.
9. Compensation Modeling
The Compensation page lets you model and compare partner compensation scenarios before committing to a plan.
Creating a Scenario
Click New Scenario and provide a name, profit pool amount, and select an allocation method:
- Eat What You Kill — Allocates based on each partner's origination.
- Lock-Step — Allocates based on equity percentages.
- Hybrid Formula — A weighted blend of origination, equity, profitability, and discretionary factors. Adjust the weight sliders (must sum to 100%).
- Custom Points — Manually assign points for origination, management, mentoring, and client relationship contributions.
Comparing Scenarios
Select two or more scenarios using the checkboxes and click Compare. You'll see a side-by-side table of each partner's allocation under each scenario, the maximum difference, and a stacked bar chart. Mark one scenario as the baseline to see +/- deltas on all other scenarios.
Bonus Tracker
Navigate to Compensation → Bonus Tracker to manage origination bonus tiers. Configure thresholds and rates (e.g., 5% bonus on origination above $2M), and see each partner's progress toward the next tier with progress bars and earned amounts.
10. Partner Track Pipeline
The Partner Track page is a Kanban-style pipeline that visualizes each associate's readiness for partnership across five stages: Not Ready, Developing, On Track, Ready, and Exceptional.
Pipeline Overview
KPI cards at the top show eligible associates, promotion-ready count, next promotion window, and at-risk alerts. Each Kanban column shows associate cards with their score (0–100) and projected partnership date.
Assessment Detail
Click any associate card to view their full assessment. The detail page includes:
- Performance Radar — A radar chart comparing their current scores against the required threshold for each criterion.
- Score Trajectory — A line chart showing their score progression over time.
- Criteria Table — Each criterion with its weight, threshold, current value, score, and a progress bar. Status shows “Met” (green) or “Gap” (red) with the gap amount.
- Strengths & Development Areas — Bullet-point summaries.
- Record Assessment — Save assessment snapshots with notes to track progress over time.
Equity Impact
At the bottom of the pipeline page, an equity impact projection shows current partner count, projected additions, and the resulting equity per partner after promotions.
Configuring Criteria
Click Configure Criteria (or go to Settings → Partner Track Criteria) to customize the evaluation criteria — set weights, thresholds, and which metrics matter for your firm.
11. Notifications
FirmMetrics includes a built-in notification system that surfaces important events automatically. The bell icon in the header shows your unread count, with a dropdown preview of recent notifications.
Notification Types
- Origination — New origination credits recorded
- Utilization — Utilization threshold alerts (low or high)
- Achievement — Milestones and targets reached
- Partner Track — Pipeline status changes
- Assessment — New assessment snapshots
- Client Risk — Key-person risk or relationship changes
- Subscription — Billing, trial, and plan updates
Managing Notifications
Visit the full Notifications page to see all notifications with type filtering. Mark individual notifications as read, or use Mark All Read to clear everything. Configure which types you receive and email digest preferences in Settings → Notifications.
12. Settings & Administration
The Settings hub provides access to firm configuration:
Firm Profile & Overhead
Set your firm name, fiscal year, and overhead allocation rates used in profitability reports.
Partner Track Criteria
Customize evaluation criteria weights and thresholds for the partner readiness pipeline.
Notifications
Toggle notification types on/off, set alert thresholds, and configure weekly email digests.
Billing & Subscription
View your plan, manage payment methods, check seat usage, and access invoices via Stripe.
Integrations
Connect practice management systems (Clio, PracticePanther) or configure CSV imports.
Security (Coming Soon)
Password policies, multi-factor authentication, and audit log viewer.
13. Roles & Permissions
FirmMetrics uses role-based access control. Each user has one of four roles, which determines what they can see and do:

Managing Your Subscription
Go to Settings → Billing & Subscription to view your current plan, seat usage, and payment status. From there you can:
- Upgrade or downgrade your plan
- Update your payment method
- View past invoices
- Manage your subscription through the Stripe customer portal
If your subscription lapses, a banner will appear at the top of the dashboard. There's a grace period before access is restricted, giving you time to update your payment details.
